Who we are and scope

The Farm System LLC (“The Farm,” “we,” “us,” or “our”) operates this public marketing website for baseball programs in Macomb County, Michigan. This policy describes information handling in connection with the website, inquiries, and registration forms. Separate program documents may provide additional information.

Information adults may provide

Depending on the inquiry or form, adults may provide names, email addresses, telephone numbers, communications, team and organization details, coach or team representative information, guardian contact and relationship details, and registration selections. Adults may also provide youth participant information, such as a participant’s name, age or age division, program or session selection, and other details requested for program administration. The information requested varies by form.

We may receive communications and records related to inquiries, registration, program participation, and payment administration. Payment processors handle payment details under their own terms and privacy notices.

Website, device, and analytics information

Website services and third-party resources may receive technical information such as IP address, browser and device information, pages visited, referring pages, interactions, and cookie or similar identifiers. Our website also stores your analytics preference in your browser’s local storage.

Google Analytics 4 is subject to the website’s analytics preference. You can review or change that preference using the analytics settings or Privacy choices control. Our application’s GA4 funnel events are limited to page and interest-form events with page path and optional page title, rather than form answers.

HubSpot tracking scripts, embedded forms, fonts, and other third-party resources may load independently of the GA4 preference. Turning off GA4 is NOT an all-tracking or all-cookie opt-out. Third-party behavior also depends on their settings and policies. Changing the GA4 preference does not itself delete all previously stored cookies.

How information is used

Information may be used to respond to inquiries; administer programs, teams, and registration; communicate updates and program information; maintain records; improve the website; support safety; and meet legal obligations or respond to lawful requests.

Adults, guardians, and youth participants

Adults are the intended submitters of inquiries and registration information. Direct submissions by children under 13 without appropriate parental involvement are not intended. A parent, guardian, or authorized adult should provide youth participant information only with the authority required for that submission.

If you believe information was submitted by a child without appropriate parental involvement, contact us so we can review the situation and take appropriate steps.

HubSpot and other service providers

The website uses embedded HubSpot forms for interest and registration. Information entered into those forms is processed through HubSpot. Other service providers may support hosting, communications, analytics, program administration, and payments. Their services may collect or process information under their own privacy notices as well as arrangements with us.

Sharing and lawful disclosures

Information may be shared with appropriate service providers and authorized personnel who support the purposes described above, and with recipients when required or permitted by law, to address safety concerns, or to protect legal rights.

We do not sell youth registration information to data brokers.

Security and retention

We seek to use reasonable security practices appropriate to the information and services involved. No website, transmission, or storage system can be guaranteed completely secure.

Retention varies with program administration, business needs, applicable legal requirements, and the services used. This policy does not establish a fixed retention schedule.

Privacy requests and guardian authority

Contact us to ask about information relating to you or your child, request correction or deletion, or raise a privacy concern. Requests will be reviewed subject to applicable law, recordkeeping requirements, and legitimate operational needs.

We may need to verify identity and, for requests involving a youth participant or another person, guardian status or other authority before disclosing or changing information. Please do not send sensitive identity documents unless we arrange an appropriate verification method.

Links may lead to third-party websites or services that we do not control. Review their policies before providing information. We may update this policy as our website or practices change and will identify the effective date on this page.
